The person who gets the job will;
- Give the Managing Director a sophisticated way to manage his or her schedule: Set priorities for questions and requests and make decisions and suggestions to make sure that day-to-day interactions go smoothly.
- Serve as a point of contact and help the Board of Directors.
- Set up and handle all logistics for Board meetings, schedule management meetings, draft agendas, create, compile, and distribute presentation materials, and record management meeting minutes.
- Follow the rules and regulations set out in the bylaws when it comes to Board matters.
- Complete a wide range of administrative tasks that make it easier for the CEO to run the organization well. such as
- helping with special projects, designing and making complicated documents, reports, and presentations, gathering information for meetings with staff and outside parties, writing letters and getting them ready; keeping lists of contacts; making travel arrangements
- Serve as the main point of contact for people inside and outside the company who need to talk to the Managing Director about anything, even things that are highly confidential or important. Set priorities and decide on the best action, referral, or response, using your best judgment to reflect the style of the managing director and the organization’s policies.
- Work closely with the Managing Director to keep them up-to-date on upcoming obligations and responsibilities, and make sure to follow up as needed. Serve as a “guide” by knowing what’s going on in the environment and keeping the Managing Director informed. Managing Director’s before meetings, conferences, and other events.
- Provide a “gatekeeper” and “gateway” role, acting as a link between the Managing Director and the staff to make sure communication goes smoothly and to show leadership in order to keep credibility, trust, and support.
- Restock things in the office like snacks, printer ink, paper, office supplies, etc.
- Help make the Managing Director’s guests feel welcome by giving them a warm welcome.
- Answer the main phone line and talk to people who call.
- Invest in building both internal and external relationships that will last.

Experience at Work
- Ability to do work with a strong focus on diversity, equity, and inclusion
- A lot of experience with executive support, including working with C-level executives.
- Expert knowledge of Microsoft Office and desktop publishing software; can design and edit graphic presentations and materials.
- Strong skills in both speaking and writing.
- She is very organized and pays close attention to every detail.
- High level of professionalism when dealing with different groups of people, such as Board members, senior executives, and staff.
- Make good, well-informed choices about your priorities and the time you have.
- Ability to finish a lot of tasks and projects without much or any help.
- Ability to respond to situations and events that need a quick response or turnaround with the right amount of urgency.
- Be able to handle confidential information with a high level of honesty and discretion.
- Great discretion is required.
- Having the ability to switch gears at any time
Educational Qualification
- 1st degree from a well-known school
- Having a master’s degree will be an added plus
- Worked previously as an executive assistant in a high-level office
- Work in the organization that manages funds is a plus.
